Privacy Policy – FOODWISELab

INTRODUCTION

The FOODWISELab project, developed under the Agro@tecverde programme and funded by the Recovery and Resilience Plan (PRR), aims to promote food literacy among adolescents through the creation and evaluation of an interactive digital platform.

In the course of this project, non-sensitive personal data will be collected and processed in accordance with the General Data Protection Regulation (GDPR), ensuring confidentiality, security and exclusive use for scientific research purposes.

The FOODWISELab digital platform is developed using the Umbraco CMS (Open Source) content management system.

PERSONAL DATA COLLECTED BY THE APPLICATION

The contact form of the foodwiselab.pt application collects the following data: name, telephone number and email address.

DATA COLLECTED BY THE ECOLOGICAL FOOTPRINT CALCULATOR:

Processing of Personal Data with Artificial Intelligence

The platform offers features that allow documents to be uploaded, such as receipts containing personal data (for example, the Tax Identification Number – NIF), for automated analysis.

To improve this feature, we use third-party services based on artificial intelligence, such as the OpenAI platform, which may involve the temporary transfer of data for external processing under confidentiality and security agreements.

· Only strictly necessary data is processed.

· The data is not used to train OpenAI models and is processed in accordance with the principles of the GDPR.

Terms of Use: The data entered in the calculator is not stored, shared or used for any purpose other than the immediate calculation of the environmental/nutritional impact of the food. The only exception applies to the data from the uploaded receipt: the food products identified may be processed and stored in a database, solely to improve the accuracy of the calculator and to allow future comparisons of environmental impact. This data is processed anonymously and is never directly linked to the user. By using this tool, you agree to these terms.

Storage of prompts/responses – temporarily, to monitor and prevent abuse (up to 30 days by default).

PURPOSES OF DATA PROCESSING

The data is collected to assess the food perceptions, behaviours and skills of adolescents aged between 12 and 18, and to gather technical input from professionals and stakeholders involved in food education.

The data will be used to measure the impact of a hybrid educational intervention and to inform the development of the FOODWISELab digital platform, ensuring that it reflects the needs and realities of its users.

LEGAL BASIS FOR DATA PROCESSING

The personal data of participants (especially minors) will be processed on the basis of the free, informed and explicit consent of the participants themselves or of their parents or guardians, where the data subject is a minor.

This consent will be obtained by signing an informed consent form before taking part in the study.

RETENTION PERIODS

Your information will be kept for an expected period of 6 months after the end of the project, and therefore for the period necessary to fulfil the purposes set out in this policy.

SECURITY MEASURES

Appropriate technical and organisational measures will be taken to protect your personal data against unauthorised access, loss, alteration or improper disclosure.

These measures include:

i. Your data will be stored on servers hosted in Portugal.

ii. Regular backups will be made to prevent loss of information.

iii. Ongoing technical support is ensured to fix any technical problems and for continuous improvement.

iv. The application will be continuously monitored and its performance will be evaluated.

v. The team responsible for the application's back office will take part in regular training sessions.

vi. Guides and manuals will be developed to make it easier for educators and professionals to use the platform.
